This page provides graduation timelines, checklists and frequently asked questions for all students, as well as information specific to those submitting an electronic thesis or dissertation (ETD). Students submitting an ETD should also review our formatting guidelines for information on required sections for your document, templates and an overview of common formatting revisions requested by the Graduate School (GEMS).

Final Quarter Graduation Timeline

The below timeline is a general guideline, based on Graduate School policies and procedures, to help students understand the graduation process. Check with your graduate program for any department-specific requirements, procedures and deadlines.

Eligibility for graduation is determined by satisfactory completion of all Graduate School and program degree requirements by the last day of the quarter a student intends to graduate. Refer to Dates and Deadlines for quarterly deadline information and Memo 46: Graduate Degree Requirements to review Graduate School degree requirements.

Beginning of the Quarter:

  • All students: Register! Students must maintain registration as a full or part-time graduate student for the quarter the degree is conferred.
  • All masterโ€™s students: The Masterโ€™s Degree Request (application to graduate) for the current quarter in session becomes available to complete on the first day of instruction through the last day of the quarter.
    • Submitting this request will generate a degree audit. Any incomplete or in-progress requirements should be discussed with your graduate program advisor.
  • Doctoral students: Login to MyGrad and review your committee information for accuracy. Ensure your Reading Committee members are properly identified and your final exam is scheduled in MyGrad.
    • Schedule your final exam.
    • Review Final Examination: Dissertation Defense for special instructions.
  • International students: review the ISS final quarter registration information and checklist.
  • Concurrent students: If you are enrolled in more than one degree program, prepare your manual degree audit per the Concurrent Degree Graduation Requirements instructions.

Last Day of Quarter:

  • Masterโ€™s students: This is the last day to file a masterโ€™s degree request for the current quarter. Students who miss this deadline will not be graduated until the following quarter. Those who miss this deadline should refer to the Registration Waiver Fee.

  • Masterโ€™s (Thesis Option) students: This is the deadline to submit your ETD and committee approval form to the UW ETD Administrator Site (at 11:59 p.m.). Those who miss this deadline should refer to the Registration Waiver Fee.
  • Doctoral Students: This is the deadline to submit your dissertation and Survey of Earned Doctorates (SED) certificate to the UW ETD Administrator Site.
    • Electronic Reading Committee Approval: this is the deadline for your committee members to register electronic approval of your dissertation.
    • Registration Waiver Fee: Students who miss this deadline should refer to the Registration Waiver Fee.
    • Practice Doctorate students are excluded from the above requirements.After the Quarter Ends:
    • Masterโ€™s (Thesis Option) and doctoral students: GEMS advisors review ETDs as they are submitted throughout the quarter, but the highest volume of ETDs are received and reviewed at the end of the quarter.
      • You will be notified if any revisions are needed to your document and will also be notified when your ETD is accepted. All requests for revisions are sent via email to the student directly with a new deadline to re-upload the document with the requested changes.
    • All students:
      • Graduate programs submit degree recommendations to the Graduate School (GEMS) during the week after the quarter ends. GEMS cannot graduate a student until the department has recommended their graduation. Once recommended, GEMS advisors will review individual degree audits for each student and process graduation requests.
      • You will receive an email when your graduation has been recommended by your department and when your degree has been granted by the Graduate School.
      • Your degree will post to your UW transcript two business days after the Graduate School processes your graduation.
      • If you need proof of degree completion earlier, please refer to our Request for Letter of Certification on our Forms page.
      • Diplomas are mailed by the Office of University Registrar two to three months following graduation. Make sure your mailing address is updated in MyUW. Graduation Checklists Graduation Checklist: Thesis Masterโ€™s StudentsGraduation Checklist: Non-Thesis Masterโ€™s Students Graduation Checklist: Doctoral Students Masterโ€™s Committee Approval Form (Thesis Option Students)A completed and signed approval form is required for Masterโ€™s students submitting an Electronic Thesis (ETD) as part of their degree requirements. These forms certify that the studentโ€™s faculty committee has examined the final copy of the thesis or dissertation, have found it complete and satisfactory, and confirm that any and all revisions required by the final examining committee have been made by the student.

    • Unable to Collect Signatures?
      Students who are experiencing difficulties collecting physical ink signatures (unable to access scanners, printers, postal delays, etc.) should refer to page 2 of the Masterโ€™s Supervisory Committee Approval Form for special instructions.Electronic Doctoral Dissertation ApprovalFinal Exams scheduled after March 3, 2020 include a link for Reading Committee Members to approve the dissertation online at MyGrad Committee View.
    • Students will receive email notices when online approvals are entered. Students may also check the status of approvals by logging into MyGrad Program. ETD Frequently Asked Questions I created an account in the ETD Administrator site, but Iโ€™m not ready to submit my ETD. Can I come back to my account later? Yes. If you need to finish your submission later (for instance, if you need to update your PDF file before uploading it), you can save your information and come back to finish. No information will be lost. I submitted my ETD but would like to make an edit to the document. How can I edit my submission? Once your thesis/dissertation is submitted, no additional changes to the document are allowed with the exception of a major data error in the document. In this circumstance, a letter outlining the necessary changes is required from your supervisory committee chair. What will the Graduate School be reviewing after I submit my ETD? Submissions are reviewed by GEMS advisors for formatting requirements for the three required sections โ€” title page, copyright page, abstract โ€” before they are delivered to ProQuest for publication. We are checking for accuracy and consistency. Refer to the Formatting Guidelines for detailed information. I submitted my ETD and havenโ€™t heard anything yet. When will it be reviewed? We try to review all ETDs as they are received, but if you submit early in the quarter it may not be acted on immediately. If you need to confirm completion of your degree requirements to an external agency or employer, please contact uwgrad@uw.edu requesting a Letter of Certification. In general, ETDs are reviewed in the last two to three weeks before the quarter ends and after the last day of the quarter. When your submission has been accepted by a GEMS advisor, you will receive email confirmation. How can I tell if my ETD was submitted and received by the Graduate School? When your ETD is successfully submitted and pending review, the status will read โ€œSubmission in Reviewโ€. When will my ETD be made available for access? This depends on the type of access restrictions you selected when creating your account. However, your submission will be delivered to ProQuest for publishing four to six weeks after graduation and you will receive email confirmation when this has occurred. It should be available in UW Research Works around the same time. When will the printed dissertation / thesis copies I ordered from ProQuest be ready? After you receive the email confirmation that UW has โ€œdeliveredโ€ your submission (ETD) to ProQuest, you should please refer to the ProQuest Customer Service guidelines for the expected delivery date of your order. What if I am missing a faculty signature for my thesis or dissertation, or I have encountered difficulties in uploading my ETD? Must I pay the Graduate Registration Waiver Fee and graduate in the following quarter?
      If you encounter these types of situations, contact Graduate Enrollment Management Services (206.685.2630 or uwgrad@uw.edu) as early as possible and no later than the last day of the quarter in which you intend to graduate.     • Graduate Enrollment Management Services (GEMS) is also available to help and can be contacted at 206.685.2630 or uwgrad@uw.eduContinuing Study at UW You may decide to keep studying at UW even after your degree is conferred! To continue your study, you should receive a new status first, so read on for instructions:
    • New degree program: apply for admissions into a new graduate degree program.
    • Graduated Masterโ€™s students: if you wish to continue your study in the same program as a doctoral student, you should discuss the process of receiving a formal promotion with your program advisor. If youโ€™re accepted for doctoral study, your degree code will be updated and visible in your UW student records.
    • Graduate Non-Matriculated Student (GNM): if you want to continue to take graduate courses without seeking a new graduate degree, consider applying for GNM status.
    • F-1 and J-1 student visa holders: you must notify International Student Services of any changes or updates to your educational objectives while in the United States. We recommend discussing plans with ISS as early as possible.

The Graduate School accepts applications from U.S. citizens, permanent residents (green card holders), immigrants and international applicants. Undocumented individuals are eligible for admission to any graduate program at the University of Washington. Graduate School admission requirements and application procedures are the same for all applicants regardless of citizenship and visa status.

Types of Students

Applications are for the following three types of students. Graduate School admission requirements and application procedures are different for each student type.

  • Graduate students are working toward a masterโ€™s or doctoral degree. Students must be admitted as a graduate student in order to earn a degree.
  • Visiting graduate students plan to transfer a limited number of graduate credits to their home institution where they are actively pursuing a graduate degree.
  • Graduate non-matriculated (GNM) students are not currently seeking a degree but may apply a maximum of 12 graduate level credits toward degree requirements should they later be accepted into a graduate program. (Acceptance as a GNM student does not confer priority for later admission to a graduate program.) Students holding or expecting to hold F-1 or visitor visas are not eligible for GNM status.

Minimum Admissions Requirements

Prospective graduate students must meet the following minimum requirements:

Degree:

  • Hold the minimum equivalent of a four-year baccalaureate degree from a regionally accredited college or university in the U.S. or its equivalent from an accredited foreign institution or a Bologna bachelorโ€™s degree with a minimum of 180 European Credit Transfer System (ECTS) credits.
  • Also acceptable: hold a Masterโ€™s degree, a doctoral degree (Ph.D., D.Phil.), or a professional degree (M.D., J.D., D.V.M., etc.) from a regionally accredited college or university in the U.S. or its equivalent from an accredited foreign institution.
  • All students confirming enrollment must provide an official (sealed) transcript and degree statement (with date of award & title of degree awarded) for verification to Graduate Enrollment Management Services (GEMS). For more information, see Official Transcripts Requirements. Students who submit an official transcript to their admitting department are still required to submit an additional transcript to GEMS upon enrollment.

GPA:

  • Have earned at least a 3.0 grade-point-average (on a 4 point scale) from a regionally accredited college or university in the U.S. or its equivalent from a foreign institution for the last 90 graded quarter credits or 60 graded semester credits from a baccalaureate degree (for a Masterโ€™s, doctoral, or professional degree, the total cumulative average may be used).
    • If you earned additional credits from an accredited institution after your degree, you may include these credits in calculating your GPA.
  • Graduate programs may consider an applicant with a GPA below a 3.0. Graduate programs must submit an admission petition to the Dean of the Graduate School and receive approval before an offer is made.
  • Some graduate programs will have additional admission requirements and may require a higher grade-point-average. These requirements can be found in the graduate program listing: select a graduate program.

English Proficiency:

  • Demonstration of English proficiency is required of all non-native English speakers.
  • Applicants who do not meet the minimum required score will not be considered for admission. We do not offer conditional admission.
  • Admitted students with scores in the 80 -91 range will be required to take additional English classes during their graduate studies. Review English Language Proficiency requirements (ELP).
  • Some graduate programs may require a higher score beyond the minimum required score. Additionally, some programs may not accept MyBest Scores. Please check with graduate programs to confirm their requirements: select a graduate program.
  • The TOEFL iBT Special Home Edition is accepted by the Graduate School. The Special Home Edition is identical in content and scoring to the regular TOEFL iBT taken in a testing center. It is currently available everywhere except mainland China and Iran.
  • The TOEFL ITP Plus for China is accepted by the Graduate School. The test is designed to meet the needs of students from mainland China.
    • Applicants must register for the TOEFL ITP Level 1 Test (Intermediate to Advanced).
    • Applicants must have a minimum Level 1 test score of 627 (C1) for admission.
    • Programs may require a higher score, but may not petition a score below 627.
    • Some programs may not accept TOEFL ITP scores. Please check with programs:
    • Students admitted with the TOEFL ITP Test will be required to register for English 102, 103, and 104.

  • The Duolingo English Test is accepted by the Graduate School.
    • Applicants must have a minimum score of 105 for admission.
    • Programs may require a higher score, but may not petition a score below 105.
    • Some programs may not accept Duolingo scores. Please check with programs: 
    • Students admitted with a score below 120 will be required to register for English 102, 103, and 104.

The Graduate School accepts applications from U.S. citizens, permanent residents (green card holders), immigrants and international applicants. Undocumented individuals are eligible for admission to any graduate program at the University of Washington. Once an international student planning to study on an F-1 or J-1 student visa has been admitted and has accepted their offer, they must provide documentation to show proof of adequate financial support.

UW Admissions Procedures

Before you apply, you need to know that graduate admission procedures vary by institution. At the UW, graduate admissions is decentralized. So although the Graduate School works closely with graduate programs on technical, administrative and policy issues, individual graduate programs have a great deal of autonomy. Understanding the role of the Graduate School and the role of graduate programs will help you successfully navigate graduate admissions at the UW. It will also help you know who to contact when you have questions.

The role of the Graduate School in graduate admissions:

  • establish minimum admission requirements
  • support the online application for graduate study at the UW
  • process requests for I-20s and DS-2019s to apply for visas at US embassies
  • verify final degree transcripts of applicants who accept an offer of admission
  • evaluate English proficiency requirement for non-native English speakers

  • Research graduate programs. Select a graduate program and review admissions requirements, deadlines and application materials. Then visit the programโ€™s website and contact the program if you have any questions.

Application Deadlines

Deadlines for each degree program are determined by the faculty of that graduate program. Deadlines can be found in the graduate program listing, select a graduate program.

Submitted Application Materials

Application materials, once submitted as part of your application, become the property of the University of Washington Graduate School. Materials will not be returned and copies will not be provided for applicants nor released to other institutions. Please keep a copy for your records.

After Applying

After you have submitted your application, you can check the status of your application on your Graduate Application Status Page. You get to this page by logging in as a returning applicant.

Here is what you can expect after applying:

  • Admissions reviews can take up to four months. If a program does not indicate on the Graduate Application Status Page when decisions are made, you will need to contact the program for its timeline.
  • The graduate program will notify you of its decision either by email or by postal mail. The decision will also be reflected on your Graduate Application Status Page.
  • If you are offered admission, you will be instructed to accept or decline the offer of admission on your Graduate Application Status Page.
  • If you accept an offer of admission, next steps will appear on your Graduate Application Status Page. Next steps are things that you need to do before you enroll in classes at the UW. Foreign applicants who indicated that they would be requesting an I-20 or DS-2019 visa application will be given instructions.
  • If you decline an offer of admission, you will be asked to complete a short survey on your Graduate Application Status Page.
